Shipping, Installation & Site Readiness

Deployment knowledge center

A vending machine is not successfully delivered when the truck arrives; it is delivered when it is safely positioned, connected, tested and handed to an accountable operator.

Site readiness prevents avoidable damage, delays and unsafe improvisation. WEIMI uses a pre-shipment and pre-installation checklist so the buyer, freight provider, site owner and local installer can plan their responsibilities.

01

Implementation layer

Before production release

Freeze the commercial and technical brief in writing.

  • Final model, configuration, drawings and approved artwork
  • Destination power, plug, language, payment and connectivity
  • Product pack tests and planogram assumptions
  • Applicable documentation and destination requirements
  • Packing method, Incoterm, consignee and schedule
02

Implementation layer

Freight and import planning

Dimensions and weight influence transport, unloading and the final path into the building.

  • Confirm packed dimensions, gross weight, handling points and orientation
  • Appoint an experienced freight forwarder and customs importer
  • Review duties, taxes, permits and port/storage risks
  • Plan marine/cargo insurance according to the agreed responsibility
  • Inspect packaging and record any damage before acceptance or unpacking

03

Implementation layer

Survey the complete access route

Measure every step from vehicle to final position, not just the floor area beside the machine.

  • Loading dock, curb, ramps, gates and security booking
  • Door, lift and corridor clearances including turns
  • Floor and lift load limits
  • Stairs or level changes requiring specialist lifting
  • Temporary storage and protected unpacking area
04

Implementation layer

Prepare the operating site

The machine needs a safe environment and service clearance.

  • Level base and local anchoring/seismic requirements
  • Dedicated power and isolation by a qualified electrician
  • Ventilation, ambient limits, drainage or water where applicable
  • Reliable mobile, Wi-Fi or wired connectivity as specified
  • Customer accessibility, lighting, surveillance and safe queue/collection space
05

Implementation layer

Commissioning and acceptance

Use actual products and transaction scenarios before declaring the site live.

  • Inspect, level and secure the machine
  • Confirm electrical and network setup
  • Load the approved planogram and verify temperature or recipes where relevant
  • Test payments, successful vends, delivery failures, refunds and alerts
  • Train operators on replenishment, cleaning, shutdown and escalation
  • Record serials, settings, acceptance evidence and handover contacts
06

Implementation layer

Service readiness after launch

A machine without stocked spares, ownership and response rules is not an operating system.

  • Name first-line and escalation owners
  • Keep suitable consumables and project-specific spares
  • Protect administrator credentials and configuration records
  • Set preventive inspection and cleaning schedules
  • Review early sales, faults and customer feedback after launch
08

Project input

Information required for a project review

Share logistics and site facts early enough to change the plan if necessary.

  • Destination, requested delivery term and consignee details
  • Quantity and target installation date
  • Access-route measurements, lift limits and site photos
  • Power, network, water/drain and ambient information
  • Local electrician/installer, freight forwarder and acceptance owner

Shipping and installation FAQ

Who handles customs clearance?+

Responsibility depends on the agreed sales and shipping terms. The buyer should appoint a qualified importer or broker and confirm documents, duties and permits before dispatch.

Can a machine be moved through a standard doorway?+

Do not assume. Compare packed and unpacked dimensions with every door, lift and turn, allowing for handling equipment and safe clearance.

Does the machine need a dedicated circuit?+

Electrical requirements depend on configuration and local code. A qualified local electrician should confirm circuit, protection, isolation, grounding and plug/connection.

When should payment be activated?+

After merchant approval, connectivity and integration testing. Test both successful and failure scenarios before customer launch.

What should happen on delivery day?+

Inspect packaging, record damage, use suitable lifting equipment, follow handling instructions and avoid connecting or stocking until the site and unit are safely checked.

Before dispatch

Five gates between a quotation and a working location

01

Commercial handover

Agree the shipping term, destination, importer, taxes, duties, insurance and scope of installation.

02

Receiving route

Measure doorways, lifts, turning space, floor loading and handling access using the final packed dimensions and weight.

03

Operating position

Confirm power, connectivity, ventilation, weather exposure, security and customer circulation.

04

Commissioning

Assign unpacking, inspection, placement, configuration, test payments and sample delivery.

05

Operator handover

Provide the restocking routine, cleaning plan, fault escalation contacts and acceptance record.

Site survey

Collect evidence that prevents a last-minute surprise

Photos of the proposed position and delivery route Identify obstructions, access limitations and service clearance.
Power supply, network access and installation conditions Review utilities and environmental suitability.
Receiving contact and permitted delivery hours Plan safe receiving and handling responsibilities.
Target launch date and local preparation status Coordinate dependencies rather than assuming freight arrival means readiness.
